We are seeking a highly organized and professional Executive Assistant to provide comprehensive support to our executive team. This role requires exceptional multitasking abilities, excellent communication skills, and a proactive approach to problem-solving. You will act as a key liaison between the executives, internal teams, and external stakeholders while maintaining a high level of confidentiality.

Key Responsibilities:
- Administrative Support:
- Manage executive calendars, schedule meetings, and coordinate appointments across time zones.
- Handle incoming calls and correspondence with professionalism.
- Prepare meeting agendas, take detailed notes, and distribute minutes promptly.
- Communication & Coordination:
- Act as a primary point of contact for entities, clients, and stakeholders.
- Assist with public speaking engagements, presentations, and other communication needs.
- Build and maintain strong relationships with internal and external contacts.
- Documentation & Reporting:
- Draft, review, and organize official documents and reports.
- Maintain records with precision and ensure timely follow-ups.
- Financial Oversight:
- Support in handling budgets, financial reports, and expense tracking.
- Ensure an accurate understanding of numbers and financial data to assist in decision-making.
- Technology & Tools:
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint) for tasks and presentations.
- Manage CRM activities using Zoho to track interactions, data, and progress.
Qualifications and Skills:
- Proven experience as an Executive Assistant or in a similar administrative role.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with Zoho CRM or other CRM platforms is preferred.
- Excellent communication skills, both written and verbal, with public speaking experience.
- Detail-oriented with strong organizational and documentation skills.
- Financial literacy and the ability to analyze numbers and budgets effectively.
- Flexibility to work across different time zones and handle a dynamic schedule.
- Experience supporting a CEO in a real estate brokerage is a valuable asset.
