We are seeking a highly organized and professional Executive Assistant to provide comprehensive support to our executive team. This role requires exceptional multitasking abilities, excellent communication skills, and a proactive approach to problem-solving. You will act as a key liaison between the executives, internal teams, and external stakeholders while maintaining a high level of confidentiality.

Key Responsibilities:

  • Administrative Support:
  • Manage executive calendars, schedule meetings, and coordinate appointments across time zones.
  • Handle incoming calls and correspondence with professionalism.
  • Prepare meeting agendas, take detailed notes, and distribute minutes promptly.
  • Communication & Coordination:
  • Act as a primary point of contact for entities, clients, and stakeholders.
  • Assist with public speaking engagements, presentations, and other communication needs.
  • Build and maintain strong relationships with internal and external contacts.
  • Documentation & Reporting:
  • Draft, review, and organize official documents and reports.
  • Maintain records with precision and ensure timely follow-ups.
  • Financial Oversight:
  • Support in handling budgets, financial reports, and expense tracking.
  • Ensure an accurate understanding of numbers and financial data to assist in decision-making.
  • Technology & Tools:
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) for tasks and presentations.
  • Manage CRM activities using Zoho to track interactions, data, and progress.

Qualifications and Skills:

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with Zoho CRM or other CRM platforms is preferred.
  • Excellent communication skills, both written and verbal, with public speaking experience.
  • Detail-oriented with strong organizational and documentation skills.
  • Financial literacy and the ability to analyze numbers and budgets effectively.
  • Flexibility to work across different time zones and handle a dynamic schedule.
  • Experience supporting a CEO in a real estate brokerage is a valuable asset.
