We are seeking a Head Receptionist to join our rapidly growing company. This role involves managing the reception area, coordinating communication, and ensuring a welcoming environment for visitors. Responsibilities:
- Monitor the main switchboard, directing calls and taking messages as necessary.
- Oversee reception emails and take appropriate actions.
- Maintain cleanliness and organization of the reception area, office, and meeting rooms.
- Administer the visitor sign-in process and conduct site inductions.
- Collect, sort, and distribute internal and external mail and faxes.
- Coordinate meeting room bookings, arrange catering as needed, and maintain the Board Room.
- Act as the key liaison with building management.
- Prepare outgoing freight for collection and ensure general mail is delivered to the local post box.
- Order stationery, kitchen supplies, uniforms, and special equipment.
- Manage contact lists for internal staff, clients, and suppliers.
Qualifications:
- Liaise with external maintenance and office equipment suppliers to ensure prompt service.
- Utilize effective customer service skills to meet the needs of patients, families, and staff, facilitating patient flow.
- Focus on day-to-day tasks while maintaining a long-term perspective on office costs and contracts.
- Show a passion for hair and the TIGI brand, representing it positively to visitors at the TIGI studios.
- Demonstrate the ability to organize, manage multiple tasks simultaneously, and prioritize effectively.
- Work efficiently under short deadlines.
